Privacy Policy
- Your meeting video and audio go directly between participants' devices, encrypted. We don't record or store them.
- Recordings are made by the host and saved on the host's own computer, not on our servers.
- We keep what's needed to run your account and meetings: your profile, chat, shared files, attendance and payments.
- We don't sell your data and we don't use advertising or tracking cookies.

1. Who we are
SwiftUnite is an online meeting service operated by Michebyte Technologie (“we”, “us”). We are responsible for the personal data described here under the Data Protection and Privacy Act, 2019 of Uganda and its Regulations. If a host uses SwiftUnite for their organisation (for example a school or church), that organisation is responsible for how it uses the meetings it runs, and we process meeting data on its behalf.

We never see your Mobile Money PIN — you enter it on your own phone, in MTN's prompt.
3. Meetings, video and recordings
- Video and audio travel directly between participants' browsers using WebRTC, which encrypts them end-to-end between devices. When two devices can't connect directly, the encrypted stream passes through a relay (TURN) server, which cannot read it. We do not record or store meeting video or audio.
- Recordings can be made only by the host. The recording is saved straight onto the host's own computer; we never receive it. Everyone in the meeting sees a REC indicator while recording is on. Hosts must have the consent of participants where the law requires it.
- Live streaming: if a host chooses to stream a meeting to YouTube, the meeting picture and sound are sent through our streaming relay to YouTube, and YouTube's privacy policy then applies to the stream.
- Waiting room and removal: hosts can hold people in a waiting room and remove participants; we record those decisions for the session.
4. How we use your data
- To provide the service: accounts, meetings, calls, chat, files and attendance reports for hosts (performance of our contract with you).
- To take payments, issue receipts and send plan reminders (contract, and our legal obligations for financial records).
- To keep the service secure: preventing password guessing, abuse and fraud (our legitimate interests).
- To answer support requests and send essential service emails such as password resets and receipts.
- To run the optional AI assistant when you choose to use it.
We do not sell personal data, and we do not use it for advertising.
5. Who we share it with
Only with service providers that help us run SwiftUnite, for that purpose only:
- Hosting provider — stores our website, database and shared files, and sends our emails.
- MTN Mobile Money — processes subscription payments.
- Connection relay (TURN) and STUN providers — help devices connect; they see IP addresses and relay encrypted media they cannot read.
- Anthropic — if the AI assistant is enabled, your questions to it are processed by Anthropic's Claude models. If it is not, questions may be looked up on DuckDuckGo and Wikipedia.
- YouTube (Google) — only when a host chooses to stream a meeting live.
- Google Fonts — serves the typefaces on our pages, which reveals your IP address to Google.
Hosts can see the names of people in their meetings, the chat and files shared there, and attendance reports. We may also disclose data where the law requires it, for example to comply with a court order.
6. Data outside Uganda
Some of the providers above store or process data outside Uganda (for example in the European Union, the United States and Singapore). We only use providers that protect personal data to a standard comparable to Ugandan law, as the Data Protection and Privacy Act requires.
7. How long we keep it
- Account data: while your account is open, and deleted within 90 days of a request to close it.
- Meeting chat, files, notes and whiteboards: while the meeting exists, unless the host or you ask us to delete them sooner.
- Payment and receipt records: as long as tax and accounting law requires.
- Security records such as failed sign-ins: a short period (connection signals within minutes, sign-in attempts within a day).
8. Security
We use encrypted connections (HTTPS) everywhere, hash passwords, protect forms against forged requests, limit sign-in attempts, and restrict meeting chat, files and video signalling to the people in that meeting. No system is perfectly secure; if a breach affects your data we will tell you and the Personal Data Protection Office as the law requires.
9. Cookies
We use one essential cookie that keeps you signed in. It is removed when you close your browser or sign out. We do not use advertising, analytics or tracking cookies.
10. Your rights
Under the Data Protection and Privacy Act, 2019 you may:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate data, or to delete data we no longer need;
- object to or ask us to stop certain processing;
- complain to the Personal Data Protection Office (Uganda) if you are unhappy with how we handle your data.
Email info@swiftunite.com. We will reply within 30 days. For meetings run by an organisation, we may refer your request to that organisation.
11. Children
Children under 18 may use SwiftUnite only with the consent of a parent or guardian, or through a school or organisation that has obtained that consent. If you believe a child has given us data without consent, contact us and we will delete it.
12. Changes and contact
If we make important changes we will update this page and the date at the top, and tell account holders by email or in the app. Questions: info@swiftunite.com.
